Help and guidance for the Maintenance System — fleet inspections, compliance, and maintenance & costing.

Using the Maintenance System
  • Dashboard: View fleet and inspection KPIs (total trucks/trailers, completed inspections this month, due soon, overdue, fix required, fail count). Use filters and the Global Inspection List to find inspections by date, vehicle, mechanic, or status.
  • Vehicles: Add and manage fleet units (trucks and trailers). View unit number, VIN, type, and status. Use the overview per vehicle for more details.
  • Mechanics: Manage mechanic accounts used for assigning and recording inspections.
  • Generate Inspection: Create and edit inspection templates by type (e.g. truck/trailer). Define categories, questions, and options. Inspections can be completed via the app or system; results show as pass, fix, or fail.
  • Compliance Tracking: See monthly completion %, overdue vehicles, and due-this-week. Filter by all vehicles, overdue only, due this week, or compliant only. Use the overdue vehicles list to plan inspections.
  • Maintenance & Costing: View all maintenance entries with total spend (all time and this month). Use filters by date and maintenance type. Click View on a vehicle to see its full maintenance history and to add, edit, or delete maintenance records (type, date, description, parts/labor cost, vendor, attachments).
  • Reports: Run inspection report, vehicles report, fix/fail report. Export to PDF or CSV as needed.

How do I add a new vehicle?

Go to Vehicles, then add a new unit with unit number, VIN, type (truck/trailer), and status.

How are inspections recorded?

Inspections can be submitted via the mobile app or through the system. Each inspection is tied to a vehicle and mechanic; results are stored as pass, fix, or fail and used for compliance and reports.

What does “due soon” and “overdue” mean?

Based on your compliance settings, “due soon” means the next inspection is due within a set number of days; “overdue” means the next due date has passed. Use Compliance Tracking to see and filter these lists.

How do I add or edit maintenance for a vehicle?

Open Maintenance & Costing, click View for the vehicle, then use “Add Maintenance” or the Edit/Delete actions on existing rows. Enter type, date, description, costs, vendor, and any attachments.

How do I export reports?

From Reports, choose the report (e.g. Inspection, Vehicles, Fix/Fail). Use the PDF or CSV export options on that page to download the file.

Profile & Security

Update your name and email from Profile. Change your password there as well. Keep your login details secure and log out when using shared devices.
